This Privacy Policy describes how Aethra processes information for the Discord bot ("Bot") and the Aethra website/dashboard ("Service").

Discord IDs and metadata, server settings, logs you enable, and basic web analytics.

Discord data

User IDs, guild IDs, role IDs, channel IDs, command usage, moderation actions, ticket content you submit.

Settings

Per-guild configuration (feature toggles, automod, etc.).

Web data

Account profile from Discord OAuth (username, avatar, email if you grant it), basic log data (IP, user agent) for security.

Billing

Handled by our payment provider; we don't store full card details.

3) Why we collect it

  • Operate Bot features (moderation, tickets, logs, analytics).
  • Authenticate you to the dashboard and show your guilds.
  • Prevent abuse, debug issues, and ensure reliability.
  • Comply with legal obligations and enforce our Terms.

4) How we store & share

Data is stored securely; we only share with processors required to run Aethra.
  • We use reputable infrastructure providers (e.g., cloud hosting, email, payment processors).
  • We may share minimal data with processors strictly to provide the Service.
  • We do not sell personal data.
DATA SECURITY:
We never sell your personal data and only share what's necessary with trusted service providers to operate Aethra.

5) Cookies & analytics

We use essential cookies and lightweight analytics to keep the app functional.

The dashboard may use essential cookies for session management and anti-abuse measures. We avoid invasive tracking and keep analytics minimal.

6) Data retention

We keep data only as long as necessary for the Service or as required by law.
  • Operational logs typically rotate on a schedule.
  • Closed ticket transcripts and moderation cases may be retained for audit unless you delete them.
  • Backups are time-limited and automatically purged.

7) Your choices & rights

You can request access or deletion; remove the Bot to stop future collection.
  • Remove the Bot from your server to stop future collection there.
  • Request access or deletion by contacting privacy@aethrabot.com.
  • We will verify identity before fulfilling requests and may retain data where legally required.

8) Children

Aethra is for users who meet Discord's minimum age; we don't knowingly collect data from children.

If we learn we processed data from ineligible users, we will take steps to remove it.

9) Security

We use industry-standard safeguards, access controls, and monitoring.

No system is perfectly secure, but we apply reasonable technical and organizational measures to protect data against loss, misuse, and unauthorized access.

10) International transfers
